Our Policies
The plain language terms for every vinyl order with Train Records (VinylPressing.ca). Please read them before you approve your proof and pay.
Last Updated: October 30, 2026These policies apply to every order placed with Train Records (VinylPressing.ca), whether you order online with the Vinyl Price Builder™, by email or by phone. By paying for an order or approving a proof, you agree to them. Nothing on this page takes away any right you have under the consumer protection laws of the province, territory or state where you live.
1. Defects and Replacements
A true manufacturing defect is a skip, a pop, a severe warp that stops the record from playing, or obvious physical damage caused in manufacturing. Records with a true manufacturing defect are replaced free of charge.
- Replacement comes first. Our remedy for a verified manufacturing defect is to replace the affected records. A reasonable time means about the same as our normal manufacturing time for a new order of the same product, because a replacement run needs the same production steps and the same time. We will do our best to expedite replacements, but vinyl production has physical limits. If we cannot replace them within that time, we will refund the price of the affected records.
- We verify first. We check every report, usually against the sample we keep from every job. Photos and video of the defect help us move faster.
- Return all affected product. To be considered for a refund, all of the affected product must be returned (for example, all 100 of 100 records, not 98). We will tell you how to send it back.
- Anything beyond that is our choice. Any extra refund, credit or discount beyond a replacement, or beyond what the law requires, is at Train Records' sole discretion.
- Shipping damage is different. Damage that happens in transit is a claim with the courier (UPS, FedEx and others), not a manufacturing defect. Keep the box and packing and tell us right away; we will help you with the claim.
2. Files, Artwork, Audio and Test Pressings
Audio
You are responsible for your audio masters. If we notice an obvious problem with a wave file, we will flag it, but we do not judge how your music should sound, and we are not responsible for problems that come from the master you supply.
Artwork and Proofs
Once you approve your artwork proof, you are responsible for what it shows, including typos, misspellings, picture placement and using the correct file version. Please check every proof carefully.
Colour
Artwork files must be CMYK. RGB files viewed on backlit screens look different from ink on paper, so printed colour will not match your screen exactly. Our Mac screens and printers are calibrated for CMYK. We recommend reading our artwork help file before you send files.
Test Pressings
- A test pressing is a check for manufacturing defects only. It is not a chance to change your audio. Changing audio after a test pressing means new lacquers and stampers at extra cost.
- Defects found on a test pressing are fixed before the full run.
- The test pressing add-on is $99.99 (CAD).
- If you choose to skip the test pressing, problems a test pressing would have shown you before the full run, such as issues that come from your audio files or the specs you approved, are your responsibility. True manufacturing defects are still covered under Section 1.
3. Overruns and Underruns
Vinyl manufacturing can produce up to 10% more or fewer records than the quantity you ordered. Extra records are charged and any shortfall is credited or refunded. This is billed at the end of the job, and it may be a separate charge even after you have paid in full.
4. Changes and Cancellations
Once you have paid (in full or a deposit) and approved your proof, production can start the same day. If you change or cancel your order after that point, you are responsible for the cost of all materials made and manufacturing work already done, and we refund the difference between that cost and what you have paid. If nothing has been made yet, we refund what you paid, less any card or payment processing fees we were charged. Any cancellation right you have under the law where you live still applies.
5. Payment Terms
- Paid before shipping. No order ships until it is paid in full, unless a credit application and credit terms have been approved in writing (this is rare).
- Ways to pay. Payment in full is preferred. A 50% deposit is available as a second option, with the balance due before your order ships. Shop Pay Installments may also be offered at checkout, subject to approval by the provider.
- e-Transfer and PayPal. Send e-Transfer (Canada) and PayPal payments to sales@trainrec.com. We do not charge late fees or returned payment fees for e-Transfer or PayPal.
- Card disputes. If you dispute a card charge and the dispute is decided in our favour, or is withdrawn, any dispute fee we were charged may be added to your invoice. Please contact us first; we are happy to sort out any billing question.
- Currency. All prices are in Canadian dollars (CAD). Customers outside Canada, including US customers, are charged in CAD. Your bank or card company converts the amount and may charge its own conversion or foreign transaction fees.
6. Shipping and Turnaround
- Turnaround is manufacturing time only. All turnaround times end when your job is ready at the loading dock. They do not include shipping time.
- Courier choice. You may choose a courier at checkout, but we may use a different courier if it is cheaper or faster to your area.
- Risk in transit. Unless the law where you live says otherwise, responsibility for your package passes to you when we hand it to the courier. After that, we are not responsible for courier delays, damage or loss, but we will help you file a claim with the courier.
7. Music Rights and Content
- Proof of rights. You must sign our replication rights form or vinyl order form and give us proof that you own or have licensed the songs on your record.
- Audio check. All audio is scanned through Replicheck before production goes ahead.
- Our right to refuse. Train Records fully reserves the right to reject or cancel any order that does not meet our requirements for proving rights. We may also refuse content, such as bootlegs or anything we find offensive, at our discretion.
- If we cancel for rights or content reasons. You get a full refund, unless manufacturing has already started. In that case everything stops and you are charged only for the work already performed.
- Your promise to us. You confirm you have every right needed to reproduce your audio and artwork. To the extent the law allows, you agree to cover Train Records' losses and reasonable costs, including legal fees, if anyone makes a claim that your audio or artwork infringes their rights.
8. Customs, Duties and Taxes
For orders shipped outside Canada, any duties, brokerage fees and import taxes due when your package arrives are your responsibility. Train Records does not control or collect these charges, and the courier or your country's customs agency may ask you to pay them before delivery. Rules change often, so please check with your local customs office if you are unsure.
9. Storage of Finished Orders
If a finished order is not paid for or claimed within 30 days of being ready, it may be subject to storage fees. Whether to charge storage fees is at Train Records' discretion, and we will contact you before any fee applies.
10. Privacy
- How we use your information. We use your information only inside Train Records to quote, make, ship and support your order. We never sell, rent or resell your personal information, and we do not share it for cross context behavioural advertising.
- Marketing. Where the law allows, we may send you occasional emails about our services. Every email has an unsubscribe link, and you can opt out at any time by emailing sales@trainrec.com.
- Card payments. Card payments go through Shopify's secure checkout. Train Records never sees your full card number. Payment details are saved only if you choose to allow it.
- PayPal and e-Transfer. For these payments we receive only an email notice of your payment.
- Service providers. We share only what is needed with the companies that help us run the business, such as our payment processors and couriers, so they can do that job.
- Your choices. You can ask to see, correct or delete the personal information we hold about you by emailing sales@trainrec.com. We may need to keep some records where the law requires it, such as tax records.
- Do Not Sell or Share. Because we do not sell or share personal information, there is nothing to opt out of, but you can still contact us with any privacy question.
11. Limitation of Liability
To the fullest extent the law allows, Train Records' total responsibility for any claim about an order is limited to the amount you paid for the affected order. We are not responsible for indirect or consequential losses, such as lost profits, missed release dates or event costs.
Some provinces, territories and states do not allow these limits or exclusions, or do not allow limits on implied warranties. Where the law does not allow this limit, it does not apply to you, and you keep the rights the law gives you.
12. Governing Law and Your Rights
- These policies are governed by the laws of the Province of Ontario and the federal laws of Canada that apply there.
- If you are a consumer, you keep any protections given by the consumer laws of the place where you live, including the right to bring a claim in your local courts where that law allows it.
- Your rights may vary from province to province and state to state. These policies give you specific rights, and you may have other rights under local law.
- If any part of these policies is found to be unenforceable where you live, the rest stays in effect.
- We may update these policies from time to time. The version in effect when you place your order applies to that order.
